PMWeb allows Users to retrieve details relating to contracts based on a set of user-defined criteria such as:

• Contract details (including but not limited to contract manager, procurement type, funding source, procurement method, contracts etc) ;
• Stakeholder details;
• Relevant dates; and
• Value thresholds.

PMWeb Dashboards and Reports can provide all of this information with drill-down and drill-through abilities.

In addition, users can select from custom parameters to refresh what information is displayed.

Multiple search options (Basic, Advanced) including multiple keywords, criteria and exclusions

PMWeb has multiple search capabilities. Global search, business process specific searches, and custom search features can be added as needed.

Search for additional keywords associated with contract

Contracts can be searched in multiple ways including any custom searches via PMWeb Dashboards feature.

User can select fields available in search functionality

PMWeb grid views allows for searching by field with multiple criteria. Searches can be saved as layouts.

User can maintain and modify displayed result fields and number of results per page

PMWeb grid views allows for saving of layouts and results per page can also be set.

Creation of basic workflows to support the contracting process

PMWeb has a powerful Workflow Module in which the User can easily create the required Workflows.

Allow for multiple work flow types and the ability to configure these work flows

PMWeb’s Visual Workflow tool is fully configurable to all work flow types. User roles and required action times can be set. Conditional rules can be established to manage aspects such as varying levels of delegated authority required for an approval. Workflow can be attached to any document whether it is a PMWeb standard document or a Custom Form.

Workflow facilities to monitor events or processes associated with the contracting life cycle

PMWeb Workflow is designed to do this. Required actions and triggers can be aligned with the requirements of a specific contract and varied on a contract by contract basis if required.

Provide facilities to escalate and/or allocate monitored events, processes and documents to the relevant parties for further action

PMWeb Workflow and Notifications feature allows for escalation and allocation of various processes to other parties for action.

Facilitate modification and maintenance the approval hierarchy

PMWeb Workflow is designed to be extremely easy to use and has drag&drop functionality in which you see the workflow being created step by step. Modification and maintenance of the approval hierarchy is therefore a straightforward process.

Security features to prevent malicious tampering of contract data/records.

PMWeb has an extensive User permissions security feature and powerful Audit records. All actions are recorded, as is the IP adsdress from which the system was accessed and the User name. See Security & Audit and summary details below in relation to the overall security controls.

Facilities to set application security at different levels and apply these to software users including:

• User level (e.g. Ms Josie Bloggs);
• User role level (e.g. Contract Manager);
• User group level (e.g. Project Services Group); and
• User organisation level (e.g. Department of Munitions).

PMWeb’s “out of the box” functionality includes an extensive security module which limits what actions each user or user group can perform. Security levels can be set for individuals or for various user groups (including those detailed at left) by combinations of:

• System – Program – Project
• Feature (view or no view)
• Record (Add, View, Delete, Update)
• Field (view, update).

The security is also tied to the Document Manager Folders where users can be limited on whether they can Upload, View, Redline, etc. individual folders.

The net result is a single database to which a Customer can provide access to anyone it wishes, to whatever level it wishes, with complete security.

PMWeb also supports Secure Socket Layer (https://) access.

Ability to customise user access to all software functions by various user access levels

See above. This is standard PMWeb functionality. In addition, PMWeb allows the Customer to “turn off” any feature that the particular User is not authorised to use. This means that each User sees only what they need and the visual environment in which they operate is kept as simple as possible.

Allow users to generate management and operational reports based on a set of user-defined criteria

This is standard PMWeb functionality. PMWeb comes with over 100 standard reports with associated graphics; however PMWeb’s use of SSRS means that Users can configure an unlimited number of reports within PMWeb. See Dashboards & Reports for further details.

Allow clients to generate ad hoc reports based on a set of user-defined criteria

This is standard PMWeb functionality.

Allow the user to export the reports into spreadsheet format (MS Excel, CSV)

Export of all reports is standard to a range of formats including MS Excel and CSV.

Provide facilities to generate or export the reports into other nominated formats such as Microsoft Word, PDF and HTML

Other export formats include Word, PDF, XML and Tab-delimited.

Provide standard report templates

A number of standard report templates are available

PMWeb allows the collection of retrievable audit functionality noting relevant details such as:

• User (name and login);
• Date and time; and
• Details of system actions completed.

PMWeb has extensive Audit functionality “out of the box” that can be configured by the Customer to collect and report against information including that stated to the left. The User’s IP address is also lagged as part of the record of each login.

Application security (who can view the recorded information); and

Reporting possibilities (can this information be reported upon).

PMWeb Security Manager provides application security at multiple levels: System, Program, Project, Module, Feature, Functions, Tabs and Fields. Users are grouped into Security Groups with varying levels of ability (read, create, edit, no access) and each level determines what a user sees or is capable of performing on the interface, e.g. no access means the feature disappears from view, read only makes the feature/function greyed out.

All of the user settings can be reported upon.

In addition, all auditing can be reported upon as well.

Archive historical data

Historical data can be archived within the same database or moved into an archival database. Archiving of projects in the same database removes the database from a standard user’s view.

Search for and retrieve historical data and records

All historical data is searchable and retrievable whether it is in the same database or in an archive database. PMWeb Dashboard and Reports feature allows running of reports from multiple database sources, e.g. an archived database.

Provides features for the creation of documents and templates within the contract life cycle

This is standard PMWeb functionality. All required documents and templates can be created and stored in the system or exported as required. PMWeb is integrated with the Microsoft Office suite of products including Microsoft Word and Excel. PMWeb also has a PMWeb Word function and a comprehensive Notes creation facility. See also information on PMWeb's Document Manager.

Enables the user to upload custom document templates

PMWeb allows the upload of any number of custom document templates. The Custom Form Builder function allows the ready integration of any field on any existing Form to the PMWeb database – and, once created, that Form can be the subject of Workflow and is preserved through future software upgrades.

Provides facilities to export and store documents into an Electronic Document Management System (EDMS) such as HP TRIM, Objective, PowerDOCS (Hummingbird) or Microsoft Recordpoint

All PMWeb documents are stored in a Microsoft SQL Server database. Also, PMWeb can have an unlimited number of hyperlinks to any external web-based EDMS. In some cases, custom integrations have been made with EDMS systems to automate the exchange or linking of data.

Where the solution being interfaced with PMWeb is not a web-based system (e.g. an older version of the software), typically PMWeb's Integration Manager is used for the interchange using Web Services. Sometimes a middleware product is utilised, such as use of Diem Broker when integrating with HP TRIM; although Integration Manager and a Web Services configuration at database level typically achieves the same result. We work with the Client to determine the optimum solution on a case by case basis.

Allows for document hierarchies and linkages, enabling identification and extraction of current documents

See comment above. Electronic documents in PMWeb can be tied to a hierarchy or have metadata associated. Extraction of documents can happen multiple ways (e.g. via interface or custom integration)
